This policy explains how London Events Photography (“we”, “us”, “our”) collects and uses personal information when you visit londoneventsphotography.co.uk, send us an enquiry, or book our photography and videography services. We are based in London and we handle personal information in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

Who we are and how to contact us

London Events Photography is the controller of the personal information described in this policy, except where we say otherwise (see “Photographs and video at events” below). What information we collect

Enquiry and booking details. When you use our contact form, email us or speak to us about a booking, we collect the information you give us, which may include:

• your full name, phone number and email address
• your event date, start time, expected duration, location and the service you need (photography, videography or both)
• any additional notes or requirements you share with us, such as running orders, shot lists or venue details
• details we need to agree and manage a booking, such as your organisation, invoicing details and records of our correspondence

Website usage information. If you accept analytics cookies, we use Google Analytics (through Google Site Kit) to understand how visitors use our website. This may collect information such as your IP address, device and browser type, the pages you visit and how you arrived at our site.

Technical information. Our web host and security tools keep standard server logs, which include IP addresses, so we can keep the website secure and running properly.

How and why we use your information

We only use your personal information where we have a lawful basis to do so:

• To respond to your enquiry and prepare a quote. This is necessary to take steps at your request before entering into a contract, and is also in our legitimate interests in running our business.
• To deliver our services. If you book us, we use your details to carry out the contract with you: planning the event, attending, editing and delivering your photographs and video, and taking payment.
• To meet our legal and accounting obligations. For example, keeping financial records for tax purposes.
• To understand and improve our website. We only use analytics cookies if you consent through our cookie banner, and you can withdraw consent at any time.
• To keep our website secure and to protect our legal rights. This is in our legitimate interests.

We do not sell your personal information. We will only send you marketing emails if you have asked us to, or where PECR otherwise allows it, and every marketing email will include a simple way to unsubscribe.

Photographs and video at events

When we photograph or film an event, the people in our images are usually guests or attendees of that event. In most cases the organiser who books us decides why and how the images are used, and we create and deliver them on the organiser’s behalf. If you attended an event we covered and have questions about the images or want to exercise your rights over them, please contact the event organiser first, or email us at bookings@londoneventsphotography.co.uk and we will help you.

Cookies and similar technologies

We use a cookie banner (provided by CookieYes) so you can accept, reject or customise the cookies we use. Strictly necessary cookies, which the website needs to work, are always on. Analytics cookies are only set if you accept them. You can change your choices at any time using the cookie settings button on the site, and you can also block or delete cookies in your browser settings.

Our website loads fonts from Google Fonts. When a page loads, your browser connects to Google’s servers, which means Google receives your IP address and basic browser information.

Who we share your information with

We share personal information only where needed to run our website and deliver our services, with:

• our website hosting and email providers (Hostinger), who store website data and help deliver messages from our contact form to us
• Google, for website analytics and fonts
• CookieYes, which records your cookie consent choices
• any second photographer, videographer, editor or other trusted freelancer we engage to deliver your booking, who may only use your information for that purpose
• our accountants and professional advisers, and our payment and invoicing providers, where necessary
• the police, courts, regulators or other authorities, if we are legally required to

We require our service providers to protect your information and to use it only for the services they provide to us.

Transfers outside the UK

Some of our providers, including Google, may process information outside the UK. Where this happens we make sure an appropriate safeguard is in place, such as a UK adequacy regulation (for example, the UK-US data bridge for certified US companies) or the ICO’s International Data Transfer Agreement or Addendum.

How long we keep your information

We keep personal information only for as long as we need it for the purposes above. In general, enquiry details are kept for as long as is needed to respond to you and follow up on your enquiry. If you become a client, we keep booking and correspondence records for the duration of our relationship, and we keep financial records for as long as the law requires (usually six years). Analytics data is retained according to the settings in our Google Analytics account. When we no longer need information, we delete or anonymise it.

How we protect your information

We use sensible technical and organisational measures to protect personal information, including secure (HTTPS) connections to our website, access controls and keeping our website software up to date. No online service can be completely secure, so please take care about what you send us by email.

Your rights

Under UK data protection law you have the right to:

• be told how your personal information is used (this policy)
• ask for a copy of the personal information we hold about you
• ask us to correct information that is inaccurate or incomplete
• ask us to delete your information in certain circumstances
• ask us to restrict how we use your information in certain circumstances
• object to our use of your information where we rely on legitimate interests
• ask to receive your information in a portable format, where this applies
• withdraw your consent at any time, where we rely on consent (for example, analytics cookies)

To exercise any of these rights, email bookings@londoneventsphotography.co.uk. We will respond within one month, and there is normally no charge. We may need to confirm your identity first.

Complaints

If you are unhappy with how we have handled your personal information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint, or by calling 0303 123 1113.
